We aim to be as open, honest and as straightforward as possible with carers/parents in order to maintain a constructive two way flow of communication.

This information should be read carefully before signing any contract, booking any course, activity with Pines Forest School. Upon completion, submission and acceptance in writing of the booking form, the clients named on the booking form will have entered into a binding contract on the basis of the following terms and conditions.  Please contact us if you have any questions.

Registration +

Children will be considered for entry to the projects when a completed Registration Form/ consent (found under contact) has been returned to the Forst leader.

Offer of a place +

When your child’s place is confirmed, the days attending will remain the same and can only be changed with agreement by the Supervisor and dependent on availability.

Standard Terms and Conditions +

Acceptance of a place is on the basis that changes may be made from time to time to these standard terms and conditions, to the level of fees and to the curriculum and services. Notice of any change will be given as soon as practicable but on occasions it will be less than one month.

Hours

Hours vary depending on School/ Session

The Child’s Health +

Parents must inform Pines if their child has a known medical condition or health problem or has been in contact with infectious diseases. The child must not be brought to the Pines site if he/she is unwell. Children must be vaccinated to attend any sessions.

Parents/Guardians Authority +

In Loco Parentis: The parents authorise Pines to act in loco parentis in all respects. Parents/Guardians consent to the use of such physical contact with children as may be lawful, appropriate and proper for teaching and to provide comfort to the child in distress or to maintain safety and good order. Parents/Guardians consent to emergency medical treatment including surgery and /or general anaesthetic, if certified necessary by a doctor and if Parents/Guardians cannot be contacted in time.

Payment of Fees +

Project fees: 800PLN (Projects last 6 weeks - 1 session per week)

Responsibility for payment +

Fees are the joint responsibility of each person who has signed the Registration Form.

Cancellation

In the event of a Parent/Guardian withdrawing a child immediately the Parent/Guardian shall still be due to pay full project cost.

Pines reserves the right to terminate a child’s place with immediate effect if a serious breach of these terms and conditions occurs or if the termination of a place is considered by Pines, in its absolute discretion, to be in the best interests of Pines and/or the continuing welfare of the other children attending Projects. There would be no refund of fees in these circumstances, fees in lieu of notice would not be charged.

Persons acting in a suspicious manner, under the influence of drugs or alcohol, or displaying offending or aggressive behaviour will be removed from the Pines property and dealt with accordingly. Any parent, who displays any of the characteristics detailed above, may result in their child’s place at Pines being terminated, with immediate effect.

Weather restrictions +

If the weather becomes severe or causes us to have concern for the welfare of the children or staff, we will call and ask for parents to collect their child. No refund will be made in this event. Detailed information can be found in the Pines adverse weather policy.

Settling Sessions +

We would like to ensure your child is happy and settled, however sometimes children need parents/carers to help with this transition and you would be expected to stay in such circumstances.

Liability +

We accept no responsibility for any loss suffered by parents, arising directly or indirectly, as a result of Pines being temporarily closed or the non-admittance of your child during our sessions for any reason, this applies to absence due to sickness, holidays and Bank Holidays. We accept no responsibility for children whilst in their parents care during, after or before sessions, i.e. prior to arrival or after pick up. We will not be liable to parents and/or children for any economic loss of any kind, for damage to the child’s or parents property, for any loss resulting from a claim made by any third party or for any special, indirect or consequential loss or damage of any kind. We will make reasonable endeavours to keep parents and / or children’s property in good order. Liability for damage of such property is excluded except where caused by our negligence.

Insurance +

Pines undertakes to maintain those insurances which are prescribed by law. All other insurance is the responsibility of the parent. It is also the Parents/ Guardians responsibility to ensure that all children’s clothes are labelled and that no items of value are taken into the Pre-School. No responsibility will be accepted for the loss or damage of items.

Special Precautions +

The Supervisor must be notified in writing immediately of any court orders or situations of risk in relation to the child for which any special precautions may be needed.

Concerns / Complaints +

Parents/Guardians who have cause for concern must inform the Supervisor without delay.

Waiver +

Any waiver of these terms and conditions is only effective if given in writing by or on behalf of the Chairperson.

Jurisdiction +

Pines contracts are governed by Polish Law.

These must be completed, signed and returned at least 48 hours before the commencement of the Forest School session(s) for which you have booked. We also require any changes to information submitted on our medical/consent forms to be shared with us, for the comfort and safety of all attendees.

Inhalers/Epipens/insulin dependents +

If you or your child requires any of the above then the medication must be brought to the session/s for use in case of an emergency by the parent of the child or a First Aider or Medical Emergency personnel. NB If a child arrives for a session without his/her emergency medication then the session Leader reserves the right to refuse entry to the session (for the protection of both child and staff/volunteers)

Knowing what kit is the right kit for Forest School +

“There’s no such thing as bad weather, just poor kit”

Suitable clothing, for the environment and the weather are really important. The following has been prepared as a checklist to help you prepare your child for his/her Forest School experience.

Long sleeved T-Shirt or shirt

Fleecy top or jumper

Long trousers

Socks that stay up inside boots

Walking boots or waterproof shoes/boots

Waterproof coat

Gloves

Unsuitable clothing +

Short sleeved T-shirts (bare arms can get stung by nettles)

Shorts (bare kegs can be scratched and stung

Leggings (too thin to provide proper protection from brambles/nettles)

Sandals

Crocs or similar type footwear (soles do not provide adequate protection)

Safeguarding +

We have policies and procedures related to safeguarding for both clients and staff, which we can provide for you to read on request. If you have any questions relating to safeguarding in relation to a child or vulnerable adult then please contact us. We provide confidentiality in relation to information shared with us by service-users, except in circumstances where disclosure makes it a legal obligation to share information with appropriate professionals.

Protecting your privacy +

Any personal information, stored on paper, relating to adults or children attending sessions will be destroyed after they have finished their attendance. Emails provided for booking purposes will not be automatically added to our mailing list, you will need to subscribe to our list to receive regular news and updates.

Whilst we respect privacy of individuals we do take photographs and sometimes short video clips during the Forest sessions which we like to use to help encourage others to come along. We always ask those who attend whether they are happy for photos/videos to be used for marketing purposes or shared onto our Facebook page (signed forms).

Feedback and Concerns +

We encourage all participants and carers/parents to give us feedback about their experience at any of our Forest School/educational sessions. We actively encourage a two-way conversation about anything that has caused/is causing concern. Feedback can be given verbally, in person, by telephone, or in writing by email.

All allergy must be passed on to Pines staff before sessions.

All Pines appointed staff have an up to date police check.
